2025 Annual Meeting

Present and organizing the meeting where Kyle Thompson (HOA President) and Suzanne O'Connell of Focus Property Management. All board members were present as well as a number of unit owners.


  • The meeting was opened. The board approved the 2024 annual meeting minutes. All in attendance verified that they received the notice of the annual meeting that was dated May 19, 2025.

  • Tom Seeber (who was filling a board position made vacant by the February 2025 resignation of Charles Parker) ended his position on the board. The term of that position ended as of the annual meeting date. Terms are two years, and the term left open by Charles ended July 2025.

  • The two year terms of Dave Underwood and James Kellar ended as of this annual meeting. Each was elected by those present at the meeting for a new term of two years.

  • There were no nominations for additional board members by the deadline for the annual meeting.

  • Kyle (current HOA president) encouraged anyone interested in being on the board to contact Suzanne to let her know. Anyone interested will then receive an invitation to join an upcoming board meeting where the board can elect new members. Please do that right away if interested. If anyone has an agenda/item they would like to have the HOA pursue, joining the board is the best way to make that happen.

  • Suzanne discussed the current status of the finances of the HOA. Per Suzanne's evaluation, the HOA is currently in good financial standing. We should be able to conduct maintenance and improvement projects. We need to be putting money back into the reserve fund for larger upcoming maintenance projects the neighborhood will need in the foreseeable future. Additional details about the budget/finances can be obtained by contacting Focus Property Management (for those reviewing this website update about the meeting).

  • Kyle discussed that in the last two years, we've replaced 20 roofs in the neighborhood. That is then were a large amount of the HOA spending has been focused. We had hoped that the roofs would allow for replacement over a longer period of time, but several had started to leak. This means we needed to move up roof replacement as a first priority. As of the meeting date, we've now replaced all original roofing in the neighborhood.

  • Kyle discussed the the change in property management. The most recent property management company the board approved was Tempo Property Management. Tempo was bought out by PMI Meridian Property Management. This means the board never chose PMI. PMI ultimately was not able to meet the needs of the board and the HOA. The board researched multiple new property management companies. The board conducted meetings with property management companies in February 2025. In February, the board voted to approve Focus Property Management as our new management company. Focus officially began managing the property on April 1, 2025 (though much work happened prior to April 1 by Focus in preparation of that April 1 date).

  • Kyle discussed the neighborhood entrance sign was updated earlier this year.

  • Suzanne discussed budget goals and updates, and asked if there were any questions about the budget. Kyle then motioned to have the budget approved. It was then seconded. Unit owners presented then voted to approve the proposed 2026 budget.

  • Kyle discussed old business. That includes that we've finished 13 new roofs in 2025 alone. The final 12 were under Focus where Suzanne negotiated a deal for those final 12 that, with the exact same roofing being used for the previous 8, saved us around $2500 for each new roof compared to what we had been paying under PMI. The board has also approved paving repairs and replacements that are tentatively scheduled for the end of the week of July 7. That should include completing the "sidewalk to no where" that goes along the south side of the neighborhood entry road. Six new trees were planted for replacing trees planted last year that had died. Two additional trees were also added (this should take us to about 57 new trees added in the last two years). We've approved replacement of the street sign at the entrance to the neighborhood, and that is pending the contractor being able to complete that work.

  • For new business, a reminder when out that unit owners are responsible for cleaning dryer vents. Focused has noticed several in the neighborhood that need urgent attention. These are fire hazards. Focus will be sending out additional information.

  • Focus is planning to make changes to patio doors, when being replaced, for the non-garage units. When a patio door needs replacing, they will be replaced with sliding doors rather than the current hinged/fixed pane doors. This should save the HOA $1200 per door immediately and future costs as they will not need to be repainted. Those wishing to have replacement doors keeping the hinged/fixed pane doors can choose to do so, but they will need to pay the difference in costs.

  • As part of deck maintenance for those units that have HOA maintained decks (as opposed to concrete slab patios), Focus is looking into replacing the wooden spindles with silver metal panels. This would reduce future maintenance costs.

  • Open question time focused on water billing. We discussed that this is a topic that Suzanne continues to research. For change, we would almost certainly need to install all new water meters at each unit. For that, we would likely need to use a special assessment. This means each unit would be billed an additional charge beyond HOA dues to pay for the costs of buying and installing the new water meters (estimated roughly at about $1000 for each unit). New water meters would likely be digital with a digital subscription service that would need to be added to the water billing. We also discussed the topic of potential water leaks in the neighborhood both underground or within individual units (such as flowing toilets). We discussed billing options with notes as to what we are legally allowed to do or restricted from doing by Indiana regarding water billing.
