June 2024 Board Meeting

For our June board meeting, the following were present:
Sarah Ransom of PMI (full meeting 2.5 hours)
Kyle Thompson of the Board (full meeting 2.5 hours)
Dave Underwood of the Board (full meeting 2.5 hours)
Charles Parker of the Board (partial meeting 1.25 hours)
David Ma of the Board (partial meeting 30 minutes)
We discussed the 2025 budget. We have many concerns of expenses coming up. The roads need resurfaced (tens of thousands of dollars). We still have 15 new roofs to complete (for about $150,000). We will soon need to start replacing decks for which the HOA is responsible (tens of thousands of dollars). We have increasing numbers of windows and doors that will need replaced. We have siding damage that needs repaired. We have gutters that need replaced. We have dead/overgrown bushes/shrubs that need replaced. We have damaged sidewalks that need repairs. Though the board's original plan was to not propose any dues increases this year, we have come out of this budget planning meeting determining that we need to propose a dues increase of at least $20 per quarter per unit.
We discussed the PMI is still working to be in contact with contractors to obtain road resurfacing bids.
We discussed that PMI is in contact with our trash collectors. The trash collection was supposed to be updated from 3 days a week to 5 days a week in Fall 2023. We believe it is still only happening 3 days a week.
We discussed planning for the annual meeting happening 2024 and the logistics of that. This includes venue, outline of the meeting, and election of new board members. There will be at least two board members ending their terms and/or participation in the board. For 2024 we will plan for an online meeting with a plan for resuming in-person annual meetings in 2025.
We discussed that while we are trying to make plans for road resurfacing, we still need to have potholes in the current road surface filled.
We discussed that our entrance sign and wooden street signs need painted.
We discussed the website and if we want to move it to a paid domain name.
We discussed the limited common area maintenance and how it is still on PMI's agenda to get notices sent out to residence. We will be asking homeowners who have common areas in need of repair/maintenance to take care of those areas. If that is not done, the HOA will need to have those services completed billing the homeowner for the expenses. Limited common area items for which homeowners are responsible include anything added by a resident (current or previous) to that property not added by the HOA. That can include trees, shrubs, flowerbeds, fences, furniture, or any item added outside the home that was not placed there by the HOA.
We discussed that PMI was not able to meet with Kyle in May to work on getting the various bank accounts linked up and sorted. Kyle still would like that to be on the agenda to be accomplished.
We discussed the trees overgrowing our neighborhood from the Meadow Creek property. This has been an ongoing conversation. PMI has previously reached out to the property owners/managers there. We've gotten no positive response. PMI will try again. We believe as the trees are on their property, they should be responsible for keeping them trimmed.
