June 2025 Board Meeting

For our May board meeting, the following were present:

  • We discussed that the updated street sign at the entrance of the neighborhood should be up by next Friday.

  • We discussed the drainage blockage at the southwest corner of the neighborhood (where it drains into the pond south of us) resulting in standing water there. Focus reports this may be a larger project than it appears. It may involve bringing in equipment to clear it.

  • We discussed that our waste management company is going to begin using AI to determine each time recycling is picked up if the recycling is contaminated with items that are not able to be recycled. If yes, this will cost us more. The plan then remains to end the recycling bin experiment.

  • We're considering a community yard sale. This may be timed with having a large roll off dumpster coordinated with high move out volume time (where unsold items can also go if no longer wanted).

  • Suzanne reports that the return to use of the drop off box for paying HOA billing seems to be popular by the level of use it is getting.

  • The large pine toward the entrance of the neighborhood was trimmed allowing the lawn under it to be maintained.

  • The trees and brush along the south side property line with the neighborhood were trimmed to keep them back from patios in that area. Focus removed a large amount of garbage/litter from that area. A lot of weeds in that area were also cut back from townhomes including from around A/C units. This also allows us now a better view of the decks to help assess maintenance needs.

  • Focus is working on a plan for replacing the patio doors of the non-garage units with sliding doors as they need replaced. We have several of those doors that need replaced now and that will continue to need to be replaced. The sliding doors are a better deal for the HOA's budget for installation as well as for continuing maintenance costs.

  • Focus is working toward options for maintenance/replacement of the dumpster enclosures.

  • Focus will be looking into some gutter cleaning/maintenance.

  • Focus is working to obtain quotes for deck maintenance and for painting unpainted front doors.

  • Focus is working on finalizing the 2026 budget proposal. At this time, our goal is not to have any HOA dues increases for 2026. We will have by 2025 replaced the last of the original roofs, so that should remove one of our largest expense item of the last two years to now focus on new maintenance/improvement items using the current dues levels.

  • We discussed finding a vendor contact for dryer vents. Owners are responsible for having their dryer vents cleaned. There are some in urgent need for which Focus will be in contact with them notifying that needs to happen now. This is a fire risk. We discussed working with a vendor to be a contact options for owners who want/need to have this service done. "Here is a vendor. Here is a price that has been agreed for this service. Here is there contact for requesting the service."

  • Focus is planning the annual meeting. Focus indicates a few owners have indicated an interest in an in-person aspect to the meeting. We will have an online meeting. Whether it will be hybrid with both online access and an in-person option is being explored by Focus.

  • We discussed landscaping improvements that need to be made. For 2026, we want to focus on updating the "flowerbeds" especially toward the south of the neighborhood that have been neglected. We also want to begin removing and replacing dying and overgrown shrubbery from in front of our buildings. This will be a multi-year project due to costs.

  • We discussed that Suzanne and Kyle met with Friday with the owner of the landscaping company that planted the new trees last year. He agreed to replace the trees that died, move a few trees, and we are also adding two additional flowering trees to the neighborhood. The marker flags have been planted for this. This should be happening this week. Once planted, Big Red will be watering the new trees as needed.

  • Focus provided that we are making good progress on collecting delinquent accounts. This is very important as we have still many expenses and maintenance projects for which we need that money to support. We still have several thousand dollars in unpaid accounts, but significant progress has been made recently.

  • We discussed that there were some billing issues where the former property management company was billing for water bills for which they were no longer responsible. If owners are having challenges with this, please contact Focus.

  • Focus cleared out the HOA storage unit and now has had a chance to review our historical records/documents. Focus scanned important paper records so that we have them in digital form. This is allowing us to end our storage contract which will save the neighborhood around $1200 in costs per year.

  • We discussed the board member terms that are coming to an end next month.
