For our November board meeting, the following were present:
Mick Wise of PMI
Kyle Thompson of the Board
Charles Parker of the Board
James Kellar of the Board
Nova Kien of the Board
The main topic of the meeting was just to learn where PMI was now in our new board contact, Mick Wise, in what topics he was or was not familiar with Oaklawn Park and our goals. We had a frank discussion about how frequently we've needed to start all over with PMI without the new person having any knowledge of anything related to our ongoing projects and goals. We discussed how we've had to start from scratch each time with multiple PMI staff members each time recreating/rebuilding all of our ongoing projects and desired projects. Kyle made it known that he is very frustrated with starting from zero each time there is a change of staff with PMI.
Mick provided information that PMI would be working quickly to respond to the Board's concerns and become quickly acquainted with Oaklawn Park's projects and needs.
We discussed that we were in the middle of changing garbage pick up services to a new company for 5 day a week pickup. We now need to know where PMI is in getting that done.
We discussed again road/parking resurfacing. We were in the middle of working with a chosen vendor to start sections of road resurfacing in 2025. We need to know where that communication is between PMI and the chosen contractor.
We discussed challenges with the insurance for which the HOA bills the unit owners each year (walls out insurance).
We discussed again having the governing documents updated so that we can get the Treasurer added to the HOA's bank accounts. This is also an ongoing conversation over the last few months.
We discussed having James added to PMI's system to view/approve invoices (with Kyle added as his backup).
We discussed again follow-up with the artist chosen to update the neighborhood signs. This is a project the board had already approved having completed. We need to know where that project is now. We would really like to have those improvements in place as those are very visible and make the neighborhood look worse when not maintained.
We discussed finding our winter lights that we had put up last year around the entrance sign. PMI would have those.
We discussed how Axela, the new collections agency we are using, is moving forward.
We discussed that we still need to have PMI collect proof from each unit owner that they have a sufficient walls in insurance policy in place.
We discussed PMI making sure that any townhomes in our neighborhood that are rented are in compliance with Bloomington's Housing and Neighborhood Development (HAND) requirements.
We discussed the "Upkeep Committee" review and how that ball cannot be dropped again by PMI. We need to ensure there is follow-up with those unit owners who are not maintaining their limited common areas. We also though noted as a board our appreciation for those owners and residents of Oaklawn Park who have taken actions to maintain and improve their outdoor limited common areas. We've seen some improvements that are really making Oaklawn Park a nicer place to live. The board thanks those who have taken part in improving Oaklawn Park.
