For our October board meeting, the following were present:

Kyle Thompson of the Board
We discussed waste/trash services. We have finalized plans, and we will be moving forward with a new company for 5 day a week garbage pick up services. PMI will notify unit owners in advance when the services will change from one vendor to another (the current dumpsters will need to be removed and replaced with those of the new vendor.
We discussed road/parking resurfacing. The company we had chosen in the previous board meeting will be dividing what needs to done into smaller, individual projects from which we can pick which are the priority based on urgency and budget.
We discussed the HOA's insurance and renewal of that which needs to happen very soon.
We discussed a Reserve Study proposal. This would be having professionals come to Oaklawn Park to evaluate the condition of the neighborhood to lay out what needs to be done to maintain the neighborhood, a timeline for meeting those needs and then what type of budget we need to have to be meeting those needs now and going forward.
We discussed having the governing documents updated so that we can get the Treasurer added to the HOA's bank accounts.
We discussed follow-up with the artist chosen to update the neighborhood signs.
We discussed that the electricity at the entrance sign is out. Both the lights and the electrical outlet there are not functioning. PMI has scheduled an electrician go come out. Also, the floodlights have gone out in the center of the neighborhood. We discussed that as part of repairing those we should look into replacing the current bulbs with softer/less bright bulbs to soften up the lighting in that area.
We discussed regaining access to the HOA's storage unit. This is on schedule for Monday, October 7.
We discussed holiday decorations for the upcoming holidays (part of the challenge with what was planned is the electrical outlet at the entrance sign being broken).
We discussed plans with Axela, the new collections agency we will be using, are moving forward.
We discussed creation of a master list of what unit owners have responsibility for and what the HOA has responsibility for.
We discussed the governing rules for the HOA about what is allowed to be parked for more than 72 hours within parking spots. There is a concern that there may be something in the parking lots that is not allowed under the governing rules.
We discussed establishing a standing call between the HOA president (Kyle) and PMI about halfway between board meetings just to touch base and ensure projects are known/moving forward as planned.
We discussed that PMI will be sending out announcements to unit owners to send to PMI proof of walls-in insurance by November 1. Rental owners will need to also submit HAND certification to PMI also be November 1.
