May 2026 Board Meeting

For our May board meeting, the following were present:

We discussed the likely water leak somewhere underground in the neighborhood. Adding the new, individual water meters has made it seem very likely that we have an underground water leak. Tonight we will be shutting down the water between 2 AM and 4 AM in individual sections of the neighborhood to see if we can at least determine in what area of the neighborhood the leak may be. If we can narrow it down to a specific section of the neighborhood, that may help with next steps in locating it with the goal of repairing it.
We discussed that there are four remaining townhomes who have not yet worked with us to have their water meters installed by this time.
We discussed establishing the 2027 budget and HOA dues for the year. Unfortunately, the cost of everything keeps increasing, which means to maintain the neighborhood, we will need a larger budget to reflect those costs. Our goal is to truly, properly maintain the neighborhood and make improvements where we can. Maintaining the property with increased costs will mean a budget increase for 2027. We want to prepare a budget that allows us to get done what the neighborhood needs when the neighborhood needs it.
We discussed trimming of the trees along the Meadow Creek property line (eastern border of neighborhood).
We discussed the board's desire to have power washing happen ASAP. Focus is working with a vendor. The board has voted to move forward with the power washing as soon it is possible for it to be done. We understand that the neighborhood is not looking maintained at this time due to the mold/mildew/fungus growing on many of the north facing walls of the neighborhood, and we want this cleared off as soon as it can be done.
We discussed the results of Dave and Kyle walking the neighborhood with Focus to review what repairs and upkeep need to be made around the neighborhood. Many issues were reviewed that include some of the following:
- Fire hydrants that need to be repainted (we've determined that is something the city would need to do).
- There are multiple owner added fences that need maintenance. Focus will be sending notices to the owners of those homes.
- We've more specifically identified some decks that will need first priority in maintenance by the HOA
- Some repairs to siding that needs to be made
- Some cables that have surfaced that need to be reburied
- We discussed that hold satellite dishes that are no longer being used need to be removed
- We discussed dryer vents need to be cleaned. That is the responsibility of the owners of each home, but we have asked Focus to see if they can find a vendor that is willing to offer a set price per unit. We can then share that with the neighborhood with that contact information to make that an easier service for owners to make use of to get that needed work completed.
- We discussed that a total of 3 of the large pines along Sare Rd have been or will need to be removed as they have died or are dying. We then also need to have at least two of those replaced with new trees of the same kind.
We approved adding new shrubs to an island within the southeast corner parking lot.
The board previously approved removal of any overgrown or dying dwarf Alberta spruce trees from in front of townhomes. We are hoping for that to move forward soon. The board also wants replacements added for those, but we will need to ensure we have the budget for that.
We discussed possibly having a person to represent renters in the neighborhood to attend board meetings (though they would not be able to vote per our by-laws).
We discussed in very general terms the concept of amending the by-laws to limit the total number of townhomes that can be rental properties. This is something that would need to be done, if we would want to consider moving forward, in consultation with an attorney.
We discussed Focus sending out an email message on behalf of the board encouraging resident owners to join the board at the upcoming annual meeting. We very much need participation on the board by owners to make the neighborhood work. That email will also include a link to this website where we hope to put up some additional information prior to the annual meeting about our hopes and goals for maintaining and improving the neighborhood. We would ask owners to review that information prior to the annual meeting.
