For our September board meeting, the following were present:

Kyle Thompson of the Board

Tracee Lutes of the Board

Dave Underwood of the Board

Suzanne O'Connell of Focus Property Management

  • We discussed landscaping. Kyle has proposed that we plan for as large of a landscaping project as our budget will allow for fall/winter 2026 and for 2027. Now that the overgrown/dying Alberta spruces have been removed in front of homes, we really need to focus on updating the landscaping in front of each home. With 40 buildings, this will be a large project. We also need to replace the dying/removed evergreens along Sare Rd. We need to update the flower bed areas in the Southeastern corner of the neighborhood (all agree they are currently ugly). We still have areas that need trees/landscaping added to make the neighborhood look nicer and more park-like.

  • We discussed a concept for the budget for 2027 to be for landscaping improvements and then moving into road resurfacing for 2028 and beyond (with the next big focus after that siding replacement). Of course, water usage/leak detection/repair will be an ongoing part of the expenses for the HOA.

  • We discussed the ongoing water usage issues. All homes now have new water meters. Upon another search Bynum Fanyo could not find any indicators of where current leaks might be. All manhole covers in the neighborhood were opened to investigate if "extra" water was running through them. Focus now has access to a dashboard with each individual water meter's use which can be reviewed daily to help warn of leaks within individual homes (such as a running toilet).

  • Interest in the Water Usage Subcommittee has not been as high as indicated it would be when discussed during the annual meeting with owners in July. If people are concerned about the water use and want to contribute to finding a solution, we encourage them to contact Focus Property Management to sign up to join the committee.

  • We discussed the 2027 budget. Even though we've engaged in no major improvement projects in 2026, our current budget is not allowing for any building of the reserve funds. Increases in dues in 2027 are without question going to need to happen to even sustain basic functions. The increase will need to meet the needs for any improvements and continued maintenance to keep the neighborhood from degrading. The board's goal is to both maintain the neighborhood and make steady improvements.

  • We planned a special board meeting for Thursday, October 15 at 6:00 PM. This meeting will be to go over the 2027 budget proposals and determine what our options will be for continuing to attempt to resolve the water issue in preparation for a Special Owners' Meeting.

  • We planned a Special Owners' Meeting for Thursday, November 5. The meeting will be for two purposes: 1) Budget proposals for 2027 will be shared with the owners for discussion. The board will then use that input in the board vote for approval of the new budget. 2) Presenting owners with where we are on the water usage issue, allow owners to share ideas on how to resolve it, and have owners help choose our next steps based upon available options.

  • We discussed possible termite inspection plans/options.

  • We discussed the plans for insurance renewal for the walls out policies for the HOA

  • We discussed that two patio doors have been replace and one more is planned to be completed soon.

  • We discussed that a large part of our reserve funds were moved to a new account making 4.59% interest for the next 12 months.
